Kenya Farm Audit Checklist — 2026 Edition (Version 2.2)
The most comprehensive farm audit preparation checklist available for Kenyan farms, agri-exporters, and agricultural consultants. Developed by Agrosocial Services Limited — Kenya’s trusted sustainability consultancy with hands-on experience preparing farms for international certification audits.
This is not a basic checklist. This is a complete pre-audit assessment system covering 200+ requirements across GLOBALG.A.P. IFA v6, Rainforest Alliance 2020, FairTrade, Kenya GAP, GRASP, and SA8000.
⚠️ Updated for 2026 Audit Season
GLOBALG.A.P. IFA v6 introduced a mandatory Climate Risk Assessment — farms without one receive an automatic Major non-conformance. The Rainforest Alliance 2020 Standard (mandatory since July 2023) now requires a living wage roadmap, gender equity policy, and a minimum 10% conservation area. This checklist is fully updated for both. Farms still using v5.4-era checklists will have critical compliance gaps going into 2026 audits.
WHAT’S NEW IN VERSION 2.2 — 2026 EDITION
✅ IFA v6 Climate Risk Module — new mandatory requirement not in previous editions
✅ RA 2020 Livelihood & Social Justice Module — living wage roadmap and gender equity documentation
✅ Updated EU MRL references under EU Regulation EC 396/2005
✅ Updated Kenya agricultural minimum wage (KES 15,201/month)
✅ Expanded IPM documentation requirements under IFA v6
✅ 2026 Auditor Tips — insider guidance from current audit cycles
WHAT’S INSIDE — 8 COMPLETE AUDIT MODULES (200+ ITEMS)
✅ Part 1: Site Management & Documentation
Farm registration and legal compliance, traceability systems from field to buyer invoice, product recall procedures (mock recall within 15 minutes), GPS mapping, document control, and neighbour land-use risk assessment. Record-keeping failures are the #1 cause of audit failure on Kenyan farms — this module closes that gap.
✅ Part 2: Worker Health, Safety & Welfare
Employment contracts, minimum wage compliance with payslip verification, working hours under the Kenya Employment Act, PPE provision, sanitation facility ratios (1 toilet per 15 workers), grievance mechanisms, anti-discrimination policies, living wage roadmap, and gender equity documentation. Covers FairTrade, SA8000, GRASP, and RA 2020 social accountability requirements. Note: auditors verify all worker welfare points through private worker interviews — not paperwork alone.
✅ Part 3: Pesticide & Chemical Management
KEPHIS/PCPB compliance, EU MRL verification framework (EU Regulation EC 396/2005), Pre-Harvest Interval (PHI) reference table by pesticide category, chemical storage construction requirements (bunding, ventilation, fire suppression), PPE specifications for chemical handlers, MSDS requirements, stock reconciliation, and licensed disposal procedures. PHI violation is the single most common Critical non-conformance on Kenyan farms — this module gives you the tools to prevent it.
✅ Part 4: Water Management
Irrigation water quality testing requirements, E. coli threshold limits (E. coli <200 CFU/100ml for overhead irrigation; <1,000 CFU/100ml for drip/furrow irrigation), water abstraction licensing under the Kenya Water Act 2016, wash water testing frequency, and the documented Water Risk Assessment now mandatory under IFA v6.
✅ Part 5: Soil & Fertiliser Management
Soil analysis requirements (KENAS-accredited lab, minimum every 3 years), fertiliser application records, organic matter management, anti-erosion measures for slopes above 10%, composting pathogen elimination requirements (55°C for 15 days with turning records), buffer periods between manure application and harvest (60 days for root vegetables; 90 days for leafy vegetables), and prohibition on sewage sludge application.
✅ Part 6: Harvesting & Post-Harvest Handling
Pre-harvest food safety risk assessments per field per harvest, packhouse hygiene standards and cleaning records, cold storage continuous temperature monitoring, FIFO stock rotation, integrated pest management for packhouses, foreign body prevention procedures (glass register, jewellery policy), allergen management, and post-harvest chemical treatment recording with MRL compliance evidence.
✅ Part 7: Environment, Biodiversity & Climate Resilience
Buffer zones along water bodies (minimum 5 metres — legally required under Kenya Water Act 2016), HCV area protection, Biodiversity Action Plan (IFA v6 Module CB), RA 2020 conservation area targets (minimum 10% of farm), open burning prohibition, waste management plan with licensed contractor receipts, energy monitoring, GHG emission reduction planning, wildlife protection policy, and invasive species management.
✅ Part 8: Records Completeness Verification
A complete 30-document final pre-audit verification checklist — confirm every required record is present, up to date, and complete before the auditor arrives. Includes the IFA v6 Climate Risk Assessment, Biodiversity Action Plan, RA 2020 living wage documentation, and all other 2026-mandatory additions.
